The digital engineering service provider Tietoevry Austria sets the course for modern digital workplace at the ÖBB-Infrastructure AG: Thanks to the group initiative “Digital Reach”, around 9,000 employees – from track workers to cleaning and guard personnel to apprentices – have received new mobile devices with Microsoft 365 in order to be able to work in a networked manner. In a second project, a AI-based agent called “Witko”, which provides the IT coordinator: the existing but distributed specialist knowledge centrally. Tietoevry Austria accompanied the successful introduction of both projects with tailor-made adoption and change management.
Be informed at all times that rut plans have a look from everywhere, mobile access to important documents, communication in a team and much more: employees of the ÖBB infrastructure benefit in a variety of ways in everyday work from the ÖBB group corporation initiative “Digital Reach”, which was successfully implemented together with Tietoevry. “For the first time we digitally networked 9,000 employees and equipped with mobile devices and Microsoft 365 – significant cultural progress”

This affects about half of the approximately 18,500 employees who have so far had no company end devices, since they mainly work outside at train stations and tracks or in workshops. For example, apprentices can now also use the new laptops and smartphones for their training programs in the training workshops.
Adoption and change management as a success factor
Tietoevry Austria has been working successfully with the ÖBB infrastructure for years and, as a renowned Microsoft partner, continuously supports the further development of digital jobs through tailor-made adoption and change management as well as expertise from the Microsoft ecosystem. “With all the technology, it is crucial to pick up and integrate all employees – whether in the office or outside or outside – so that new tools and working methods are also accepted and used successfully”
explains Robert Kaup, managing director of Tietoevry Austria. Various formats such as workshops, webinars and office hours were organized for all employees in order to continuously inform 365 applications about news about the news about Microsoft and to solve problems promptly. These offers were aimed at people with different levels of computer skills. Under the motto “Coding Express: Signal for Innovation”, a Microsoft Power Platform “hackathon” was organized especially for apprentices, which was very well received and is repeated in April 2025. The solutions developed there will simplify the everyday life of apprentices in the future.
New AI agent supports IT coordinator: inside
ÖBB-Infrastructure AG recognized the potential of Microsoft Ki solutions early on and, together with Tietoevry Austria, implemented a AI-based agent called “Witko” (knowledge database IT coordinator) for the IT coordinator: Inside the ÖBB-Infrastructure AG. The modern solution Microsoft Copilot Studio was chosen as technology. Regardless of whether you have any questions about hardware, software, access authorizations or IT budget management-all existing IT knowledge was first collected centrally in a document, in order to then train a AI agent with the information. The collected know-how is the IT coordinator: inside and IT end users: now available in the inside using a chat bot and enables a more efficient form of knowledge management. Questions such as “How can I order a new video conference system?” or “I want to use Powerbi, what is necessary for this?” If the AI agent is now answered faster in the chat, the elaborate search for the right information is eliminated.
AI project with added value – presentation at Microsoft Ai Tour
Securing existing know-how, continuous knowledge structure and the associated relief of the employees were the goals of this AI project. “Tietoevry has highly committed these challenges and solved professionally with the AI agent. Such digitization and automation projects bring great added value and also help us to cushion the generation change and the associated loss of knowledge “

Tietoevry Austria also continuously accompanied this initiative with targeted adoption and change management measures such as webinars around copilot issues, team building for IT coordinator: inside and workshops for managers. “We focus on people and use the latest AI solutions to achieve the highest possible adoption rate”
